Delivery, Refund & Replacement Policy

Delivery Timeframe

Cakes are shipped fresh every Tuesday.

At The Cake Studio NY, we offer FREE shipping via USPS Priority Mail, with an estimated delivery time of 3–4 business days after shipment.

Expedited Next-Day Delivery (Available in Select Areas)

For customers who would like their cakes delivered sooner, we offer expedited shipping options at checkout, available at an additional cost. If you select next-day expedited shipping, your cake should arrive by Wednesday. Eligibility will be confirmed at checkout after entering your address.

Two-Day Delivery (Available in Select Areas)

We also offer a budget-friendly two-day expedited delivery option. Availability is location-dependent and, like next-day delivery, may not be offered in all areas. Eligibility will be confirmed at checkout after entering your address.

Order Processing Timeframe

Orders are processed on a first-come, first-served basis, with a limited number of cakes shipped every Tuesday to ensure the highest quality.

If your order exceeds our weekly shipping capacity or is placed after our Sunday cutoff, it will be scheduled for shipment the following week. Once shipped, you will receive tracking information to monitor its progress.

Please note that delivery times may be affected by weather or carrier delays.

What Are Pre-Orders?

Pre-orders allow customers to reserve a spot in our production schedule when we are fully booked or during busy holiday periods.

This information will be clearly noted on our website at the time of ordering. Once we resume shipping, pre-orders will be sent out on the next available Tuesday.

Incorrect or Incomplete Addresses

At The Cake Studio NY, accurate shipping information is critical to ensure smooth and timely delivery. We kindly ask customers to carefully review their shipping address, including apartment or suite numbers, before placing an order.

Policy for Undeliverable Packages:

  • No Refunds or Replacements: Refunds or replacements will not be issued for orders that are undeliverable due to incorrect or incomplete addresses provided by the customer.
  • Perishable Products: Due to the perishable nature of cakes, once shipped, if the order is returned as undeliverable, it must be discarded for safety and quality reasons.

Having incurred the costs of shipping, packaging, ingredients, and labor, we cannot issue refunds or replacements once the order has been fulfilled and shipped if it is undeliverable due to an issue with the address provided by the customer.

We strongly encourage all customers to double-check their shipping details to avoid these issues. Thank you for your understanding and for helping us maintain the quality and care.

Lost Shipments
If your order is lost in transit, we will provide a full refund or replacement.

Cake Storage & Serving Suggestions
To maintain freshness, refrigerate your cake upon delivery if not consuming it right away. It can be refrigerated for up to 2–3 days. DO NOT SERVE COLD. For the best flavor and texture, allow the cake to reach room temperature before serving. If serving after refrigeration, microwave a slice for a few seconds to warm it slightly.

Carefully Packaged for Freshness & Quality
We take great care in packaging each cake to ensure it arrives in excellent condition. Due to the handling of the packages in transit, some meringue (suspiro) may adhere to the parchment paper. However, this does not affect the quality or the flavor of the meringue. Any meringue that adheres to it can be easily scraped off with a butter knife if desired.

Guidelines for Refunds or Replacements
If the cake shows any signs of spoilage or damage upon arrival, please follow these steps to determine eligibility for a refund or replacement:

Immediate Video Documentation
Follow these instructions for documenting any concerns with your cake order:

Upon Opening: Record a clear, unedited video of the entire cake and its packaging.

Highlight Concerns: Focus on any areas of concern in the video to clearly show the cake’s condition.

Cut a Slice & Show: While recording, cut a slice of the cake and display the cut slice from all angles, as well as the remaining cake, so the interior and exterior quality can be assessed.

This video documentation is essential to properly address any issues.

Return of Product
For quality-related claims, we require the entire cake to be returned in its original packaging via priority mail. A prepaid shipping label will be provided for this purpose. Once the cake is returned and evaluated, a refund will be issued if a quality issue is confirmed.

Partially Consumed or Altered Cakes
Refunds or replacements cannot be issued for cakes that have been partially consumed or altered in any way.

Submission Timeline
Submit the video and return request within 24 hours of the delivery timestamp. Requests submitted outside this timeframe or without both video documentation and product return cannot be processed.

Please be advised that we reserve the right to decline refund or replacement requests if submitted documentation and returned products do not clearly confirm a quality issue present at the time of delivery. This policy is designed to ensure an exceptional experience for all customers while safeguarding against potential misuse of our service.

Your life’s special event deserves a special cake. Our mission is to help you translate your ideas into a beautiful, delicious, and unique work of art that will captivate you and your guests.

A 50% non-refundable deposit is required to reserve your date. Orders are accepted on a first-come, first-served basis.

Pricing is determined by the cake’s complexity, size, level of detail, and overall design. Our minimum order price for custom cakes is $175 for Italian meringue (suspiro), ganache, and buttercream cakes, and $300 for fondant cakes. The smallest cake we offer serves 15-20 guests. To secure your order, a non-refundable deposit of 50% of the total is required to reserve your date on our calendar.
 
Custom Toppers
For cake designs requiring custom toppers, such as personalized acrylic nameplates, artificial flowers, figurines, or similar items, please note that these should be provided by the customer unless otherwise arranged. We are pleased to facilitate ordering custom toppers on your behalf for an additional fee; however, this service must be requested and confirmed at the time of placing the order.

For custom orders, we recommend placing your order 1-2 months in advance to ensure availability.

Pricing provided in a quote is valid for 30 days from the date of issuance. After 30 days, prices and availability may be subject to change.

The final balance is due one month prior to the event date. If payment is not received by this date, The Cake Studio NY reserves the right to cancel the order. Should The Cake Studio NY choose to proceed with the order despite late payment, any payments made after the final due date must be made in cash.

We accept payments via cash, Zelle, PayPal, credit cards, and through our Shopify store. Please note that we do not accept personal checks.

At The Cake Studio NY, we’re committed to bringing your vision to life. We aim to create designs inspired by the photos you provide; however, please note that exact matches of decorative styles and colors cannot be guaranteed, as each cake artist has their unique style and approach. Every cake we craft is handmade and one-of-a-kind, adding a special and personal touch to each order. The photos on our website are intended as guides, so slight variations in the final product may occur.
 
We make every effort to match fabric swatches or color samples as closely as possible. However, some colors cannot be perfectly replicated in frosting. Additionally, please note that colors in digital photos can vary between monitors and may not reflect the exact shade in person.


Reasonable modifications to cake orders—such as flavor or minor design changes—are permitted up to 30 days before the event. Requests for significant adjustments, including larger cakes or intricate designs, will incur additional fees based on the complexity and our availability to accommodate these changes. Requests for changes after this deadline are not guaranteed; however, if possible, they will also incur additional charges based on complexity and feasibility.
 
All change requests must be submitted in writing via email to info@thecakestudiony.com.  A Cake Change Order will be provided for signature to confirm any approved changes.

Cancellation & Refunds

Customer satisfaction is very important to us. If you are not fully satisfied with your order, please contact us as soon as possible. If the issue is due to an error on our part, we will take the necessary steps to make it right.

For cancellations made less than 30 days in advance, no store credit or refunds will be provided. Additionally, the 50% deposit is non-refundable, regardless of the cancellation date

For cancellations made with thirty (30) days’ notice or more, the original deposit will be forfeited. Any additional payments made will be issued as store credit only, valid for one year.

In the event of a postponement, we will make reasonable efforts to reschedule if the requested date is available. A 25% surcharge may be added to the final total at our discretion.

In the event of an unforeseen emergency or circumstance that prevents The Cake Studio NY from fulfilling its obligation—excluding cases where an incorrect address was provided by the customer or where no one is present to receive the cake—we will issue a full refund. Additionally, if possible, we will assist in finding another qualified bakery to complete your order and will cooperate in transferring materials to the new baker.

General Liability

In certain cases, cake stands, boards, or other equipment must be returned after the event. If returnable items are required, they will be specified in the “Equipment Details” section of the cake contract. If no items require return, no equipment deposit is needed, and any supports or stands may be kept or discarded after the event.
 
A separate deposit, based on the equipment’s value, is required to ensure all items are returned in their original condition and on time. This deposit is due with the final payment and will be refunded once all equipment is returned in good condition. A designated contact person responsible for returns will be listed in the “Equipment Details” section.
 
Equipment returns are due no later than seven (7) days after the event. Late, damaged, or incomplete returns may result in partial or full forfeiture of the deposit. The cost of replacing any missing or damaged items (including shipping) will be deducted from the deposit. If replacement costs exceed the deposit, an invoice for the difference will be issued.
 


While The Cake Studio NY doesn’t offer in-house delivery services at this time, we encourage customers to use convenient options such as Uber, Lyft, or other delivery services to bring their orders directly to them.
 
In the future, we plan to offer delivery to most of Long Island and select areas of Manhattan, Brooklyn, Queens, the Bronx, Westchester, and New Jersey. Once available, delivery will be curbside only (except for unassembled cakes) and will require a two-hour delivery window and a contact person at the delivery location. Delivery fees will vary based on distance, time, tolls, cake size, and factors like high-demand dates and holidays. For an estimate, please provide your delivery address when reaching out to us.
 
Please Note: Large specialty cakes may not be boxed due to their size and weight, as boxes of these dimensions are typically unavailable and impractical for safe transport.


It is the customer’s responsibility to coordinate with the event coordinator and venue staff to ensure tables are set up and ready upon cake delivery. Once the cake(s) have been placed as specified at the site, The Cake Studio NY assumes no liability for any negligence by guests, florists, caterers, photographers, videographers, or other parties, nor for any property damage or injuries that may result from the cake(s) being moved, rearranged, or tampered with, which could compromise their structural integrity.
 
Please note, that only items specified in the contract are included in the delivery. Table linens, cake servers, decorations, and additional table items are not part of this agreement.

Once a cake leaves our premises, The Cake Studio NY is not liable for any damages incurred during transport or at the event location. Whether you pick up the cake personally or use a third-party service, such as a rideshare, you assume full responsibility for its handling and safe delivery. Any necessary repairs or replacement cakes will incur additional fees.
 
Guidelines for Safe Transport
To help ensure the safe arrival of your cake, we recommend the following steps:
 
Prepare Your Vehicle: Keep the vehicle cool, running the AC if necessary, and ensure there is ample space for the cake to sit securely.
 
Use a Flat, Stable Surface: Place the cake on a clean, flat surface—ideally in the trunk of a car or SUV, rather than on a car seat. Cakes should never be transported on a person’s lap. Remove any items that could shift during travel and potentially damage the cake. Avoid clutter around the cake, and consider placing an anti-slip mat underneath for extra stability.
 
Drive Carefully: To preserve the cake’s integrity, avoid sharp turns, sudden stops, and rough roads.
 
Warm Weather Precautions: For longer journeys, be mindful that certain icings or frostings, such as buttercream, may soften, especially in warm weather. Ensure the vehicle’s AC is running, and never leave a cake in the car.
 
Lifting and Handling the Cake
When carrying the cake, place both hands beneath the cake board to evenly support its weight. Cake boards may flex underweight, which could cause cracks in buttercream or fondant if not fully supported.
 

Please note that cakes may contain non-edible decorations and internal supports, including figurines, cake toppers, and crowns just to name a few, which are for display only and must be removed before serving. Even decorations made with edible materials may include non-edible parts for support. Before serving, ensure all non-edible components are carefully removed.

Real Flowers
We do not use real flowers in our cakes. If real flowers are added to the
cake(s) after delivery, The Cake Studio NY is not liable for the cake’s
suitability for consumption, potential contamination, or any compromise to its
appearance or structure. Please be aware that real flowers may carry
pesticides, insects, dirt, or other contaminants.

Cakes should be kept cool, ideally at 65-70°F, and away from direct sunlight or heat sources. During warmer months, please ensure cakes are stored in a cool, air-conditioned environment.

The customer acknowledges that outdoor settings are less suitable for cakes, as they may expose them to insects, debris, and potential damage. THE CAKE STUDIO NY is not responsible for any damage caused by natural outdoor conditions, including heat, wind, humidity, uneven surfaces, or insects/debris. Cakes should not be placed in direct sunlight or in temperatures exceeding 70°F.

For celebrations involving a “cake smash,” please place a specific “cake smash” order. Do not use our regular cakes for smashing as they may contain wooden dowels or other supports, which could cause injury. The Cake Studio NY is not liable for injuries resulting from “smashing” cakes not designed for this purpose.

Transport: Fondant, buttercream, and ganache-covered cakes are kept refrigerated until pickup to enhance stability during transport. Drive carefully with the car AC on.
At the Party Venue: Allow cakes to reach room temperature before serving for the best flavor and texture.
Special Ingredients: Cakes with fillings such as custards, fresh fruit, whipped cream, or cream cheese frosting should not be left out for more than 2 hours.
Leftovers: Refrigerate leftovers, and if you prefer them at room temperature, briefly warm in the microwave for a few seconds (timing may vary based on your microwave).

1. Remove any candles, decorations, cake toppers, cake dowels, and sugar paste plaques (if applicable) before slicing your cake.
2. Refer to the cake portion guide if you need help working out the number of slices.
3. Layer cakes are best sliced with a large plain-edged kitchen knife.
4. Cold buttercream or ganache can stick to a knife and make the cake crumble when slicing. To ensure neat, smooth slices, simply have a jug with hot water and a kitchen cloth at hand to dip and wipe the knife blade regularly between slices.
5. To lift your slice off the cake board, use a cake slice lifter or palette knife.

All our products are made in a kitchen that handles nuts, gluten/wheat, dairy, eggs, and soy. Please note that we are not a nut-free or dairy-free facility.

Frequently Asked Questions

Orders may be placed online, by completing our Online Order Form. We recommend clients to place their custom cake orders as soon as they confirm the date of their event to ensure availability. Also, certain designs may require more time.

Ganache is a rich blend of melted chocolate and heavy cream, ideal for icing cakes, fillings, and various desserts. It can be made with white chocolate or infused with different flavors. Perfect for warmer months, ganache adds stability, making cakes sturdier.

Italian meringue, known in Spanish-speaking countries as “Merengue Italiano” or “Suspiro,” is a stable, smooth meringue made by slowly adding hot sugar syrup (at 242°F) to whipped egg whites that resemble shaving cream. The mixture is then beaten until it becomes thick and forms firm, glossy peaks. This fat-free meringue is ideal for cake coverings and intricate piping. It is also great during warmer months as it holds up better than buttercream, which contains fats. However, cakes frosted with Italian meringue cannot be covered with fondant.
